Why create a dropdown?

Using a dropdown list makes it possible for users to select from predefined options during data entry exercises. In other words, there won’t be any errors in this process since all that is required is to select from the available options. On the other hand, dropdown lists are also used to create interactive charts, to-do lists, and dashboard designs.

Google Sheets gives you the power to create dropdown lists using some of its very vital features which are so efficient. With this, data entry becomes easier and fast since data entrants just have to select from the lists.

Using the Manual method

You may also choose to create a dropdown list manually by specifying the Items (That is if you wouldn’t want to make a list of items depending on the range of cells). This method is mostly used when you want to use the Boolean order (Yes or No, True or False). Let us follow the step below to get this one done as well.

  • The first thing to do is to select the cell where you want to put the dropdown list
  • Now, you will click the Data option in the menu (screenshots in the second method)
  • Proceed to the Data Validation option in the next menu. When you are there, ensure that the right cell is selected.
  • After confirming that, now you can select “List of items” and remember to save the changes.

How to Create a Drop-Down List

Using a range of cells in Google Sheets, you can create a dropdown depending on the dataset you are working on. Below are the steps you can use to create a dropdown using a range of cells

  1. Considering the image above, we can create a drop-down list in cell C2 by doing this;
  2. Firstly, select the cell where you want the drop-down list
  3. Go to ‘Data’ in the horizontal menu
  4. Find ‘Data Validation’ and select the option. After clicking, the Data Validation dialog box will appear.

5. At this moment, select “List from a range”, but make sure the right cell is selected before you go to this option.

6. Now enter the Cell address where you want the drop-down menu to appear

7. In this step, first select the “Show dropdown list in cell” option in order to see a drop-down icon in the cell where these have been added.

8. After that, save all the changes! That is how you can create a dropdown list using a range of cells.
