The Kenya National Examination Council (KNEC) has various platforms for customers to use in accessing services. Section 10 (1) (d) of the Kenya National Examination Council Act provides that KNEC will issue replacement certificates or diplomas for candidates upon acceptable proof of loss of the certificate. This text will guide you on the Replacement of a lost KCPE or KCSE Certificate.

One of the platforms or portals that KNEC come up with is the Query Management Information System (QMIS). This is an electronic platform for online submission and processing of queries related to Examination Results for candidates who lost their certificates, Confirmation of Examination Results, and Equation of Foreign Qualifications.

Requirements for Replacing Lost KCPE/KCSE Certificates

  1. A sworn Affidavit for the lost certificate.
  2. Copy of Certificate or Result Slip.
  3. Police abstract indicating a report of the loss of the certificate.
  4. Copy of Identification Document (ID) or Passport.
  5. For minors under the age of 18 with a copy of the Birth Certificate and Identification Card of at least one parent or guardian.
  6. An original confirmation from the registrar of persons on the identity of the applicant.
  7. Letter of Completion or recommendation from school or exam center.
  8. One colored passport photo of the applicant.

How to Replace Lost KCPE/KCSE Examination Certificates

1. On your preferred browser navigate to the KNEC website address.

2. Login with your username and password. Do not have a KNEC account? Worry not! You can create an account by Clicking on the “Register” button. Hereafter, you will be directed to the account registration page, where you will be required to provide your Full name, Mobile Number, Postal Address, Title or Designation, and Email Address. Once you have provided all the details, click on the “Register” button and the QMIS system will automatically create an account for you. A confirmation link containing your login credentials will be sent to the registered email address.

3. Now that you are logged in, click on the “Certification Letter” tab right under the information section to open the form.

4. Enter your Exams Index number and Year of exam and then click on the “Find” button, and the system will verify and provide your full name in the “Name” box.

5. In the attachments section, attach all the required documents. Once all the required documents are attached, click on the “Submit” button to send the application.

What Happens Next?

After the application, you will have to wait for KNEC to verify the details of your application and the attached documents. Upon approval, the system will generate and send a unique Pay-bill number and Account via SMS to your registered phone number. The notification will also detail the total amount to be paid which is Ksh. 5220.

Upon making the payment, KNEC will process the application and inform you when the process is complete. A duplicate certificate will be availed for collection at the KNEC office. Note that you can check your application status through the QMIS. Once the certificate is availed for collection, you should visit the KNEC office with valid original copies of the documents and Identification number or passport to collect the duplicate certificate in person.

How much does it cost to replace a KCPE certificate?

The fee required for replacing a Certificate is Sh5,000 plus a 16% VAT of Sh800. This totals to Sh5,800 per certificate. The fees can also be paid at KNEC collection accounts in any branch of the following banks;

  2. Co-operative Bank of Kenya
  3. National Bank of Kenya
  4. Kenya Commercial Bank
