Add a Collaborator to Share Notes in Google Keep On Web

When you share a Google Keep note with someone, they are referred to as a collaborator. That is the term you will see when you want to share the note on the web or through the mobile app.

To create a note on web visit the Google Keep website and click on “Take a note.”

To add a collaborator on the web, click the Collaborator icon which is to the right of the Remind Me icon.

Begin by entering the name or email address of the person with whom you want to share the note. You should see recommendations from your contacts appear for you to choose from. Alternatively, enter the person’s full email address. Then click Save.

Add a Collaborator to Share Notes on Google Keep Mobile app

Start by downloading Google Keep from your device store Android or iOS. To create a note on mobile, tap on the + icon at the bottom right corner of the app.

Then select the note you want to share from Google Keep on your device. Select Collaborators by tapping the three dots on the bottom right corner of the app.

Begin by entering the person’s name or email address. As with online, suggestions should appear for you to choose from, or you can simply enter their full email address. At the top, tap the save button.

When someone with whom you work first sees the note, it will be shaded, both online and on mobile. When someone changes a note for the first time, you’ll see a shaded note on your end as well. You will also see their name or email address, as well as the changed date and/or time.

After that, you’ll only be able to tell if a change has been made by inspecting the note for differences or looking at the last time it was edited. There is currently no indication of who made the changes. If you’re using Google Keep and your collaborator edits a note, you’ll be able to see the changes in real-time.

Remove Collaborator from a Note in Google Keep

On the Google Keep website, you can remove one or all collaborators from a note. You’ll see icons for those you’re sharing the note with at the bottom. To open the Collaborators window, click any of the icons.

Remove the person by clicking the X to the right of their name. You will not be notified if you wish to delete the collaborator. They’re gone once you click the X.

In the Google Keep app, you can remove collaborators with a few taps. Tap the collaborator icon area after opening the note. Alternatively, you can select Collaborators by tapping the three dots at the bottom.

Remove the person by tapping the X next to their name. You will not receive a confirmation of the deletion, just as you would online.
